Financials Enhancements
Streamlined Insurance Providers List for Better Financial Clarity
What's New: We've removed the "Phone" column from our Insurance Providers list and added a "Financial Class" column.
Why It Matters: This change makes it easier for you to quickly know and filter by financial class within Insurance Providers.
Who It's For: This enhancement is for everyone who interacts with the Insurance Providers List, mainly billers.
How to Use This Update:
Navigate to Billing → Insurance Providers.
Notice the new "Financial Class" column, which replaces the "Phone" column.
You may sort by “Financial Class” in alphabetical order.
When filtering your providers, select "Financial Class" from the dropdown to quickly find providers based on their financial category.
2FA Enhancements
A Refreshed Two-Factor Authentication (2FA) Experience
What's New: We've updated the 2FA interface with a new logo and refined pop-up design. In addition to scanning the QR Code, users now have the option to enter a setup key for 2FA configuration.
Why It Matters: Simplifying the 2FA setup process enhances security while ensuring ease of use for our users.
Who It's For: This update is designed for all users setting up or managing their 2FA settings.
How to Use This Update:
Access the 2FA setup via User Profile.
Observe the newly integrated logo and the updated pop-up interface.
If you encounter issues scanning the QR Code, choose the option to enter the provided setup key.
RCM Enhancements
Enhancements to the Billable Report and API
What's New: We've made upgrades to our Census → Billable Report and its associated API. These enhancements include the integration of the "Service Type" component from Forms Builder, named as "billing_service_identifier" in both the report and API. In addition, we've added several new fields to enrich the billing process.
Why It Matters: The introduction of these improvements ensures that the Billable Report and API offer comprehensive and precise billing data, simplifying the billing process and enhancing the accuracy of data retrieval and reporting.
Who It's For: This update is designed for all Sunwave customers who interact with the Billable Report and API, ensuring they have all the necessary billing information in one place.
How to Use This Update:
Navigate to the Census → Billable Report.
Note the addition of the following fields, positioned on the far right to minimize disruption:
Patient DOB
Service Facility NPI
Provider NPI (aligned with the User Signature)
billing_service_identifier (aligned with Service Type from Form Builder)
When using the API, you'll find these new fields have also been integrated, ensuring data consistency between the report and any external systems.

Mass Write-Offs Now Possible from the Aging Report
What's New: We've introduced a significant enhancement to the Aging Report, allowing for efficient mass write-offs of outstanding claims. With this update, the system can automatically generate tailored payments from Manage EOBs based on the type of claim, whether it's At Insurance or Patient Responsibility for write-off purposes.
Why It Matters:
The billing process can often be cumbersome with numerous outstanding claims. This enhancement enables billing managers to swiftly address these outstanding claims by writing them off in bulk, all while ensuring that the corresponding Payment is recorded.
Who It's For:
This feature is particularly beneficial for billing managers who ultimately make the decision if/when to write off claims based on the decision of doing it in bulk for a reason like type outstanding or maybe certain insurances.
How to Use This Update:
Navigate to Billing → Aging Report.
Apply filters as you wish to write off.
Select a cell. Observe the pop-up, you have the option to choose individual claims or select all claims at once.
Click on the "Writeoff" button.
If confirming the write-off:
For "Patient Responsibility" claims, EOBs will be grouped first by Billing Facility, and then by Patient.
For "At Insurance" claims, EOBs will be grouped first by Billing Facility, and then by Insurance Company.
A modal will appear prompting you to select a "Reason" from the Adjustment List of Values (LoV). Fields for "Other Ref Number" and "Comments" are available, which will integrate with the generated EOB.
Before finalizing, a confirmation prompt ensures awareness of the write-off's implications.
Upon successful write-off, appropriate EOBs will be generated based on your chosen filter.
All EOB data fields will be automatically mapped and updated based on the claim type, as described in the Data Field Mapping section.
For any necessary adjustments, users can view, reverse, or edit the generated EOBs.
Once the write-off process is completed, a notification will confirm the action, keeping users informed.
EMR Enhancements
Patient Engagement - Automatic Reminders
What's New
Sunwave has enhanced Patient Engagement by delivering Automatic Reminders to recipients to complete their engagement packets. These reminders will be automatically sent to all patients who do not have a package status of “Complete”
Why It Matters:
Intake packets can be sent via Patient Engagement to clients phone and email. Often, recipients do not complete these packets immediately upon reception and forget to complete them prior to their appointment. This can reduce the amount of time a patient can be with a therapist and serve as a reminder to complete their documentation prior to their date of service.
Who It's For:
This feature is useful for facilities that provide outpatient and telehealth services and utilize our patient engagement feature to distribute intake documentation to their patients.
How to Use This Update:
When creating a Patient Engagement Package via Mass Patient Engagement or within an individuals chart simply check “Reminders” and utilize the pull down menu to specify the desired reminder tempo.
EMR - Form Builder - Allow "Text Area" to be Required
What's New: Sunwave is supporting the use of custom forms by adding a required flag to the “Text Area” data field type.
Why It Matters:
For Auditing, Compliance, Billing and UR purposes, “Text Area” is utilized to capture and record large amounts of text that other fields can not fit. Requiring “Text Area” ensures that the field is filled out and not skipped by whoever is doing the form.
Who It's For:
This feature is useful on any documentation with long, extensive text answers such as narratives or medical histories.
How to Use This Update:
Navigate through Form Builder>Action>Text Area; once a text area is created, you should be able to mark it as "Required".
EMR - Patient Qs - Patient Qs Stop on Discharge Date
What's New: Sunwave enhanced our Queues reporting to display missed queues so managers had a holistic picture of all queues performed in their facility. Queues will now be automatically stopped and not recorded as missed after Patient Discharge.
Why It Matters:
For Auditing and Compliance purposes, operations and nursing managers need to understand if patient queues are being performed or missed to ensure patients receive adequate care and coverage.
Who It's For:
This feature is useful for facilities with an inpatient level of care who utilize the Sunwave Queues feature to ensure action order, medication order or safety checks within their facility. This report will serve as an audit to ensure proper coverage.
How to Use This Update:
No action is required by the user to utilize this.
