Billing Facility Aliases

This feature allows customers to define aliases on billing facilities and specify the billing alias to use within Manage Services > Rules. This feature will significantly reduce the number of individual services that need to be defined to handle address and/or NPI differences in credentialing. For customers who have our Financials module, this feature will also provide the ability to perform a single period-end close by having a single Billing Facility defined instead of multiple Billing Facilities to handle credentialing differences.

To enable billing facility aliases on a realm:

  • In Master Data > Manage Realms, choose the Realm and then check the Use Billing Facility Alias flag option:

To add an alias to a billing facility:

  • Go to Practice Setup > Billing Facilities and click the billing facility they want to add an alias to.

  • In the Aliases section, they can click the + button to add a new alias:

  • Enter the alias name, nickname, NPI, EIN, address, city, state, and zip, then click Update.

    To mark an alias as inactive:

  • Go to Practice Setup > Billing Facilities and click the billing facility they want to edit.

  • Click on the X next to the alias you want to deactivate:

NOTE: Inactive billing aliases will continue to work if already referenced by a rule, but won't be available for selection when creating or editing new rules.

  • Customers can also check the Show Inactive Billing Aliases box to see inactive billing aliases:

     

To use a billing facility alias within a rule:

  • Go to Master Data > Manage Services, click on the service you want to edit.

  • Expand the rule in which you want to leverage the billing alias, you will see new option(s) in Bill Under Legal Entity/Alias:

    • Default: this option is selected by default and represents current functionality.

    • Billing Facility Alias(es): Each billing facility aliases listed as {Billing Facility Nickname} - {Billing Facility Alias Nickname}. This provides greater flexibility in billing and allows customers to more accurately represent their billing operations.

 

Assign a specific Billing Facility to a Service Facility

This feature enables customers to assign a specific Billing Facility to a Service Facility to reduce the number of services that need to be created and maintained.

This is useful for situations where a customer offers the same services across multiple Service Facilities, but each Service Facility may use a different Billing Facility. Previously, customers had to build and maintain duplicate services for each billing facility, which was time-consuming and error prone.

To enable this feature on a realm:

  • In Master Data > Manage Realms, edit the realm and check the option to Use Billing Facility Associated with Service Facility:

To assign a Billing Facility to a Service Facility:

  • In Practice Setup > Service Facilities, click on the Service Facility to wish to edit.

  • Click on the dropdown for Billing Facility and select the Billing Facility to associate:

     

  • Click Update to save your changes.

To configure auto-billing to use the Billing Facility associate with the Service Facility:

  • In Master Data > Manage Services, click on the service you wish to edit.

  • Check the option to Use the billing facility associated with service facility option under Service Information:

     

    • Auto-billing will now use the Billing Facility associated with the Service Facility when generating claims.

    • If no Billing Facility is associated with the Service Facility, the claim will automatically be placed on hold.

Defects Resolved

  • Enhancements were made to correct long load times that were happening for the Census.

  • User Profile: Unable to save added patients to the Allowed Patients.

  • Resolved an error when updating or editing the Level of Care(LoC) for a patient, where the LoC date was confused and wrongly determined the level of care must be ended before starting a new one.

  • Waystar Eligibility Subscriber relationship was setting the value incorrectly.

  • When exporting current forms from a patient page the physician component was not showing on the export.

  • When opening regular med templates there was a series of operations that would cause some template to be lost. This has been corrected in this new release.
