RCM Enhancements
Addition of ‘Total’ Row to Collector's Report
What's New: We're excited to introduce the new 'Total' row at the bottom of the Collector's Report within the Billing section. This feature automatically calculates and displays the cumulative sums of all values in the 'Open Balance' and 'Expected' columns, allowing finance team members to quickly view total amounts based on filtered settings without manual calculations.
Why it Matters: The addition of the 'Total' row streamlines financial reporting by providing instant, accurate sums that adjust dynamically to the applied filters and date ranges. This not only enhances efficiency but also minimizes errors, ensuring streamlined operations and quicker decision-making.
Who it's For: Designed for finance team members and administrators who depend on the Collector's Report for a precise overview of financial data. It facilitates a better understanding and easier management of financial statuses.
How to Use: Navigate to the Billing section and select the Collector's Report. The 'Total' row will automatically appear at the bottom of the report. It updates in real-time as you apply different filters or change date ranges, ensuring that you always have the most current totals at your fingertips for the 'Open Balance' and 'Expected' columns.
Enhancement of Journal Period Export with Specific Debit and Credit Columns
What's New: We are excited to introduce enhanced 'Debit' and 'Credit' columns in the Journal Period export, segmented by Chart of Account configurations. This update allows users to see the amounts debited and credited in correlation to the specific account numbers affected by each transaction.
Why it Matters: This enhancement improves transparency and usability by allowing users to track how transactions distribute across various accounts. It aids in a more comprehensive analysis and helps ensure accuracy in financial reporting, especially useful in complex accounting setups where transactions may impact multiple accounts.
Who it's For: This feature is particularly valuable for financial users involved in detailed accounting tasks, such as preparing financial statements, conducting audits, or managing accounting configurations.
How to Use: Navigate to Financials > Accounting Periods > View Transactions. When exporting transactions, the new ‘Debit' and 'Credit' columns, along with corresponding account numbers, will appear at the far right of your CSV file. Additionally, you’ll notice a small UI enhancement, the export button label has been updated from "Download CSV" to "Export CSV" in an intentional effort to make our UI more consistent.
Consolidation of Inpatient Services into Single Claims for Specific Insurances
What's New: We have introduced a new configuration option in the Service Business Rules under Manage Services. This feature allows billing users to combine all inpatient services into a single claim for specific insurance contracts. This update meets the requirements of contracts that do not permit splitting services across multiple claims during a single admission.
Why it Matters: This functionality streamlines the claims process by ensuring that all services provided during a single inpatient stay are billed together, rather than separately. This not only complies with specific insurance requirements but also simplifies billing management and reduces the likelihood of claim rejections due to contract non-compliance.
Who it's For: Ideal for billing professionals who manage claims for insurances with specific stipulations regarding inpatient services. This tool helps ensure that the billing process aligns with insurance contract mandates, thereby enhancing efficiency and compliance.
How to Use: To utilize this new feature, navigate to Manage Services within the Service Business Rules. Here, you can configure the new setting to generate claims only after all inpatient services are completed. Services must be marked as 'inpatient' in Manage Realms, where a flag can be checked off next to each inpatient service to indicate its status. Once configured, a claim will not be generated for any inpatient service until the completion of all inpatient services for that admission.
CRM Enhancements
Referral Source Contacts - New Field: Contact Title
What's New: the Sunwave CRM now offers the ability to record the title of the contacts they are working with at referral sources.
Why it Matters: Recording contact title allows users to understand who they are speaking to and supports the generation and filtering of any marketing lists your organization may use.
Who it's For: Contact Titles can be used by anyone with CRM access but are designed to support business development reps who manage many relationships and marketers seeking to generate mailing lists.
How to Use: Contact Titles are controlled from Practice Set-Up → Lists of Values. Select the CRM and the Referral Source Contact Title entity. Add titles for your staff to select when creating contacts. To assign a title to a referral source contact, navigate to the CRM → Referral Sources and open any referral source. Add a contact or select an existing one to assign a title via drop down.
Sunwave & Call Tracking Metrics - Click to Dial
What's New: Sunwave now offers the ability to click to dial from the manage Lead, Opportunity and Calls screen for organizations who utilize CTM.
Why it Matters: This enhancement allows users to select a phone number and quickly dial out through CTM in order to contact leads and opportunities and help them make an admissions decision.
Who it's For: Click to Dial is for business development and admission reps who need to regularly contact interested prospects and their contacts and help them come to a decision about admission.
How to Use: If your organization uses CTM, contact customer service to explore our CTM integration!
EMR Enhancements
Medication Orders - Display Start & Expired Dates for All Orders
What's New: Sunwave’s Current Medications screen has been enhanced to display the Expiration Date for all orders.
Why it Matters: This enhancement provides greater clarity around when a patients medication orders are set to expire, allowing better decisions to be made about re-ordering, stopping or changing the medications a client receives.
Who it's For: The Start and Expiration Date columns will assist nurses, techs, and providers in better understanding when their patients medications will expire.
How to Use: Navigate to the “Orders” tab of your EMR and take a look at your Standard and PRN Order sections!
Advanced Audit Report - Add Filter for Service Facility
What's New: The Advanced Audit report has been enhanced to allow users to specify which service facility they are auditing.
Why it Matters: This enhancement allows users to better dive into a specific facilities documentation and process.
Who it's For: This enhancement should assist clinical directors, billers and administrators.
How to Use: Navigate through Reports → Advanced Audit Report and click the new Service Facility pulldown.
Group Assignment Report - Add Links to Patient Names
What's New: The Group Assignment Report has been enhanced to allow you to directly navigate into a patients chart.
Why it Matters: This enhancement will allow users to easily identify which patients are assigned to a group at any given time. By including a hyperlink to the chart they can also reassign the patient to another group schedule directly from the report.
Who it's For: This enhancement impacts clinical directors, therapists and other clinicians.
How to Use: Navigate through Reports → Group Assignment Reports and click the total patients number in blue.
Form Builder Enhancement
Account Contact Select Field is now reportable
What's New: The form builder field “Account Contact Select” will now be reportable.
Why it Matters: This enhancement displays the contact selected when running a Forms Report. The account contact select form component is commonly utilized in Consent to Release Information or PHI Disclosure Notes and displays the user selected contact.
Who it's For: This enhancement assists therapists, clinicians, compliance and administrators in quickly understanding who has consents signed and to whom any disclosures have been made.
How to Use: Navigate to Reports → Custom Fields Report and run a report for any form containing the Account Contact Select form component.
Alumni Enhancement
Patients to Enroll Report - Add Fields
What's New: Processing Alumni enrollments in Sunwave has become faster with the addition of new fields and the ability to filter the patients to enroll by referencing Admission Date, Discharge Date, Admitting Service Facility, Discharging Service Facility and the Discharge Type.
Why it Matters: This enhancement promotes better coordinate call lists as well as be informed about when, from where and with what discharge type a client left allowing for a more personal conversation.
Who it's For: This enhancement assists alumni coordinators, outreach specialists and case managers who want to enroll patients into an alumni program.
How to Use: Using the left nav menu, click Alumni → Patient to Enroll and utilize the filter or click column headers to re-order.
