EMR Enhancements

Search Patients - Add Search By D.O.B and Order By Admission Date

What’s New: Search Patients now supports searching by D.O.B and ordering the current census by Admission Date

Why It Matters: This update makes it easier to find clients via D.O.B and reviewing who has admitted recently via the new search by and ordered by options.

Who It’s For: This enhancement is for any user who utilizes Search Patients to find patient charts. '

How to Use It: Navigate to Search Patients and view the new “Search by - Date of Birth” and “Order By - Admission Date” fields.

Preferred Name - Integrate Preferred Name into Specified Screens

What’s New: Patient Preferred Name has been integrated and now displays into more locations.

Why It Matters: This update allows easier patient identification for those patients who prefer to always be referred to as their preferred name.

Who It’s For: This allows staff more directly involved in direct patient care to utilize the preferred name in more areas and more easily locate patients.

How to Use It: No action is required from the user. Ensure that Patient Preferred Name is filled out in either the Opportunity or Patient Header and view the new locations.

Patient Diet Component & Report

What’s New: A new component to record Patient Diet, Snack and Meal assignments is available via Form Builder. A new report is available titled Patient Diet Report.

Why It Matters: This component permits the assignment of specific diets, snacks and meals for patients. The report allows the distribution of Patient dietary restrictions and approved options to facility staff without Sunwave access.

Who It’s For: This component is for facilities who house and feed patients while wanting to ensure clients recieve appropriate nutrition. Sunwave users can print the Patient Diet Report to provide to staff without EMR access such as cooks and other kitchen staff who may assist with feeding patients.

How to Use It: Clients who have been trained in Form Builder or Sunwave staff can navigate through Form Builder and create new or locate an appropriate form to record Patient Dietary and Meal plans on. Add the component “Patient Diet” to the form.

 

Open the component options to configure.

Step 1. Add Types of Diets via the used by the facility, some examples include: Low Sodium, Vegan, Halal, Sugar-Free/Diabetic, High Fiber and Lactose Free.

Step 2: Configure the Menu’s to support the entered Diets. Sunwave supports as many Menu’s and Menu entries as needed. Utilize the to add Menu and the blue + to add Menu items. Basic examples are above. Menus may be as generic or as specific as required.

Configure the Meal/Snack times for patients. In the example above, the facility provides meal at 7AM, 12PM and 7AM, with approved snacks at 9:30AM and 3:30PM

Each time may be associated to any menu to provide flexibility when assigning approved snacks or meals.

Navigate to a patients chart and open the form that contains the “Add Patient Diet” Component.

View the configured options and assign appropriately

Navigate to Reports → Patient Diet Report

Configure this report as desired. Common bubbles include: Name, Planned Discharge, Diet Start, Diet End, Diet Type, and the various Meal Options. An example is included below:

Leverage Save Reports to support printing or exporting as needed. Print and provide to staff without Sunwave access like Kitchen Staff.


Level of Cares Report - Display Active Diagnosis Per LoC

What’s New: A new column has been added to the Level of Cares Report; Diagnosis Codes

Why It Matters: This enhancement allows easy tracking of a patients specific diagnosis codes while in each Level of Care they pass through.

Who It’s For: This component is for facilities and clinical staff who need to report on Diagnosis Codes for each LoC.

How to Use It: Navigate to Reports → Levels of Care Report and view the new column.

Note: Diagnosis codes support “Start On” and “End On” dates. Diagnosis codes will show for the Level of Care if they share an active day with the “Start On” and “End On” Level of Care values. View Lorgar Arulien below; notice he was diagnosed with A3701 only during Inpatient care. This diagnosis was not present for his stay in Detox.

 


CRM Enhancements

Calls Dynamic Report - Display Google Analytics Marketing Metadata

What’s New: The Calls Dynamic Report now supports the display of associated Google Analytics marketing data.

Why It Matters: This enhancement allows the display of google marketing data for all calls integrated with Sunwave.

Who It’s For: This component is for facilities with Sunwave CRM and Call Tracking Metrics who want to review the google analytics campaigns driving their call volume.

How to Use It: This enhancement requires a Google Analytics -> CTM integration and Sunwave configuration. Contact Sunwave Support to learn more. Navigate to CRM → Calls Dynamic Report and view the Google Analytics options.


User Profile - Restrict Specific Accounts from User Profile

What’s New: Restrict Account has been extended in the User Profile to support the restriction the access to accounts and opportunities by user.

Why It Matters: This update makes it easier to restrict a specific user from accessing a specific account and their opportunities.

Who It’s For: This enhancement is for any organization who wants to prevent specific users from accessing specific accounts and opportunities.

How to Use It: Sunwave Admin privileges are required. Navigate through Practice Set-Up, users and select the user to restrict. Scroll down and find the “Restricted Accounts” section. Press the and add any accounts that the user should not access.


RCM Enhancements

 

Enhanced Sorting and Formatting in the Aging Report

What’s New: The Aging Report now has improved sorting and formatting for better readability:

  • When viewing by Insurance, results are sorted alphabetically by the first letter of the insurance name.

  • When viewing by Patient Name, results are sorted by last name instead of first name.

  • Patient names are now displayed in the format Last, First - MRI#, ensuring patients with the same name are clearly separated.

Why It Matters: These updates make it easier to find the insurance or patient you’re looking for and improve standardization across reports. The inclusion of the MRI number helps prevent confusion when multiple patients share the same name.

Who It’s For: Billing and finance teams using the Aging Report to track outstanding balances and reconcile accounts.

How to Use It: Run the Aging Report as usual. The new sorting and formatting updates will apply automatically.


Enhanced Secondary and Tertiary Insurance Placement on UB04

What’s New: The UB04 form now correctly places Primary, Secondary, and Tertiary insurance details in their designated rows to ensure claims are submitted accurately:

  • Primary insurance appears in Row A.

  • Secondary insurance appears in Row B.

  • Tertiary insurance appears in Row C.

Previously, adding Secondary or Tertiary insurance caused the payer order to shift incorrectly—moving Primary insurance down to Row B and placing Secondary in Row A. This update ensures Primary stays in Row A, with Secondary and Tertiary correctly following.

Why It Matters: Proper placement of insurance details prevents claim denials and rejections due to incorrect payer order. This update aligns the UB04 format with payer expectations, reducing billing errors and improving claim acceptance rates.

Who It’s For: Billers and finance teams submitting claims using the UB04 form.

How to Use It: No action is needed. When submitting claims to Secondary or Tertiary insurance, you will now notice that Primary insurance remains in Row A, Secondary in Row B, and Tertiary in Row C—without shifting.


Tertiary Insurance & Subscriber Section Added to Facesheet

What’s New: A Tertiary Insurance Section and Tertiary Subscriber Section have been added to the Facesheet in CRM/EMR, allowing users to enter tertiary insurance details even if they don’t have access to Termed Insurance. This ensures billers can later transfer the information when Termed Insurance is set up.

  • The Copy Feature in Termed Insurance now includes all fields from the Tertiary Insurance and Subscriber Sections.

  • All fields are designated as Master fields to ensure proper data transfer.

Why It Matters: Previously, users without Termed Insurance access had no way to enter Tertiary Insurance details in advance, creating delays for billers. Now, billers can seamlessly copy and add this information when setting up Termed Insurance, improving workflow efficiency.

Who It’s For: Billing teams, front office staff, and EMR users who enter and manage insurance details.

How to Use It: Enter Tertiary Insurance and Subscriber details directly into the new Facesheet sections. When setting up Termed Insurance, use the Copy Feature to transfer all fields automatically.
