Reporting Enhancements

Add ability to add "Admission Level of Care" field in Configure for Advanced Audit Report

Where to Find it: Navigate to: Reports > Advanced Audit > Configure

What's New:

We've added an "Admission Level of Care" field in the configuration for the Advanced Audit Report. This field can be found in the "Configure Report" pop-up, positioned as the third field following the "Admission Date". Just like the existing fields, this new field allows for filtering and displaying relevant information to make your report even more comprehensive. Once your configuration changes are saved, the "Admission Level of Care" field will remain available in all your subsequent report views.

Why It Matters:

Adding the "Admission Level of Care" field to the Advanced Audit Report configuration provides users with an extra layer of detail, enhancing the granularity of their reporting. This will give a more complete picture of patients' admission data, thereby enabling more accurate and detailed audits.

EMR Enhancements

Enhancement to Q's View: Addition of Columns, Level of Care Bubble, and Clickable Patient Picture

Where to Find it: Navigate to: Q's View (on left sidebar)

What's New:

We have made several enhancements to the Q's View to provide more comprehensive and easily accessible patient information. These changes include:

Addition of 'Created By' and 'Created On' Columns: You will now see two new columns in the Q's View table that indicate who created the Q and when it was created. This information aligns with the details displayed in the patient's chart.

Level of Care Bubble: A bubble indicating the patient's current level of care has been added next to the patient's name, located at the top left of the screen. This mirrors the level of care information found in the patient's chart.

Clickable Patient Picture: To streamline navigation, the patient's picture in the Q's View is now clickable and will lead you directly to the patient's chart when clicked.

Why It Matters:

These enhancements to the Q's View are aimed at providing users with a more informative and intuitive interface. The additional columns enable quick reference to crucial details about the Q's creation, while the level of care bubble offers immediate visibility into the patient's current care status. Furthermore, making the patient picture clickable facilitates seamless navigation between the Q's View and the patient's chart.

This update is beneficial for all users who frequently interact with the Q's View. The improved visibility and navigation will help streamline workflows, potentially saving valuable time and increasing overall efficiency.


Add display of patient's current level of care in Bed Board

Where to Find it: Navigate to: Bed Board

What's New:

We've introduced a significant enhancement to the Bed Board: the display of each patient's current level of care. Now, right next to the patient's picture, users can see the patient's level of care, in a layout consistent with the "Search Patients" screen. Additionally, this level of care information is updated in real-time, ensuring that it accurately reflects any changes made in the patient's records.

Why It Matters:

This addition is designed to facilitate better, more efficient patient management. By having the patient's current level of care immediately visible on the Bed Board, users are provided with a more holistic and up-to-date view of the patient's status. This can contribute to more informed decision-making and effective patient care.

This update is particularly useful for all users who regularly interact with the Bed Board for patient management. By providing an immediate and accurate visibility into the current level of care for each patient, it aids in more effective management and decision-making for healthcare professionals.


Separate PRN from Scheduled Medications when administering medications

Where to Find it: Navigate to: Patient Profile > Orders > MARS

What's New:

To help our clinical team easily differentiate PRN medications from non-PRN ones during administration, we've added a visible PRN indicator in the Medication Administration Record (MAR) section. The PRN medications will now appear with a distinctive yellow bubble labeled "PRN". Additionally, all administrations of the same PRN medication, regardless of time, will be grouped together for easier tracking and management.

Why It Matters:

Differentiating PRN medications from scheduled ones can be crucial in ensuring proper medication administration and patient safety. This visual indication facilitates the identification of PRN medications, preventing potential medication errors and improving efficiency in medication administration.

Additional Notes:

While this feature focuses on visual differentiation, PRN medications that should not be administered due to expiration or being scheduled for the future will also be highlighted in the Current Medications screen, enhancing safety measures and ensuring proper medication management.

Who It's For:

This enhancement is aimed at the clinical team members responsible for administering medications. By visually distinguishing PRN medications, it allows them to better manage medication administration and can significantly improve the overall medication administration process.


API Enhancements

Opportunities API Enhancement - Scheduled Admission Date Filter Support

What's New:

We have made a beneficial enhancement to our Opportunities API. Now, it supports a filter based on 'Scheduled Admission Date'. Users can now retrieve opportunities scheduled between specific dates, enhancing the level of control and specificity in data retrieval.

The new filter can be used as follows: /api/opportunities/scheduled/scheduledadmissiondate/from/{start-date}/until/{end-date}. Replace {start-date} and {end-date} with the desired date range in the format 'YYYY-MM-DD'.

Why It Matters:

This new feature brings more flexibility and precision to the way users can extract data using our Opportunities API. By allowing users to specify a date range for scheduled admissions, they can better manage and analyze opportunity data specific to their needs, ultimately leading to more effective decision-making.

Who It's For:

This enhancement is beneficial for all users interacting with the Opportunities API, particularly those who frequently analyze data based on scheduled admission dates. By providing a new way to filter opportunities data, it allows users to narrow their data extraction and analysis based on specific time frames.


Calendar Enhancements

Calendar: Automatically create Calendar events for the Intake Process

Where to Find it: Navigate to: CRM > Workflow

What's New:

We've introduced an automatic feature that creates Calendar events for the Intake Process. This update ensures a seamless and more organized scheduling experience for users. The default duration for these intake appointments is set at 20 minutes, with no option for modification.

Additionally, users can now specify a calendar for Intake Appointments, Default Session Type, Default Session Status, and set reminders - all through the Realm Setup. This enhancement also allows for the visibility of these appointments on Roster Reports and Staff Schedules.

The system is now designed to reflect any changes to the scheduled admissions, i.e., if an admission is rescheduled, the associated Calendar entry gets updated automatically. Also, once the intake process is complete, the respective Calendar Event will disappear, keeping your calendar clutter-free and up-to-date.

 

Why It Matters:

This new feature provides an effective solution to maintain an up-to-date intake calendar of scheduled intakes without having to manually add them. The automatic update of the calendar ensures that all users are in sync and aware of any changes made to the intake process. Also, this helps in preventing scheduling conflicts and manages workload efficiently.

Who It's For:

This enhancement is most beneficial for Admissions Users who handle scheduling/rescheduling of intakes, and Front Desk personnel who need to view scheduled intakes for the day/week. With this feature, they can manage their schedules more efficiently, reducing the chances of overlapping appointments or overbooking.

Upcoming:

We are considering adding the feature to configure the duration per scheduled intake or set the duration by Level of Care (LOC) when configuring in Manage Realms in future updates.


Enhanced Group Sessions Schedule - More Flexibility with Meeting Durations

Where to Find it: Navigate to: Practice Setup > Group Session Schedule > Add Time Span

What's New:

We are introducing a new feature that allows users to schedule group session times with precision down to the minute. You are no longer restricted to 15-minute increments. Now, start and end times can be selected for any minute of the day, providing more control over the scheduling process.

If the duration is needed for billing or any other purposes, it will be calculated and displayed on the screen for your convenience.

This enhancement brings better alignment to your group session lengths and improves the efficiency of scheduling operations at your facility.

Why It Matters:

This update brings increased flexibility and precision to the scheduling of group sessions. It caters to the specific needs of facilities that have unique scheduling requirements, not adhering to the traditional 15-minute increment time slots. It also ensures that the specific billing dependencies linked to the duration of sessions are considered and maintained.

Who It's For:

This feature is beneficial for Admission/scheduling personnel who handle the scheduling of group sessions. It allows them to accurately reflect the actual timings of sessions at their facility, without having to compromise on precision or efficiency.

Upcoming:

In light of this new update, we are investigating further improvements such as including default Starting On and Ending On times in the Group Titles List, potentially rebranding them as Group Note Templates. Stay tuned for more enhancements aimed at optimizing your user experience.


RCM Enhancements

Automate inclusion of rendering provider in box 19 of CMS1500 form

Where to Find it: Navigate to: Master Data > Manage Services > Service Business Rules

What's New:

We've introduced a new checkbox labeled "For Box 19, include Service(s) Provider Info" within Service Business Rules for each service type to automate the inclusion of the rendering provider information in Box 19 of the CMS1500 form. This new feature ensures compliance with Arizona Medicaid requirements.

This feature allows the system to populate Box 19 with Provider/User(s) info based on the following criteria:

  1. Providers will be listed before Users. The system prioritizes those with the earliest signature dates.

  2. A maximum of 2 Provider/Users will be listed, considering only the first two signors if more are available.

  3. The formatting rules for the Provider/User info in Box 19 are as per the given examples.

  4. Services without a Provider signature will be placed on Hold status.

Why It Matters:

With the new checkbox in place, customers using auto-billing can now efficiently comply with Arizona Medicaid's requirement to include the rendering provider in Box 19. This not only reduces the risk of errors but also improves billing accuracy and enhances the overall user experience for billing specialists.

Who It's For:

This feature is particularly useful for users dealing with Arizona Medicaid billing and those who are regularly interacting with the CMS1500 form. The automated inclusion of rendering provider information ensures compliance with specific Medicaid requirements and simplifies the billing process.
