RCM Enhancements

Manage EOBs: View History at Claim Line Level with New History Button

What's New: A new History button has been added to each claim line allocation within Billing > Manage EOBs. This allows users to view a detailed log of the creation and any modifications made to individual claim line allocations, including additions, deletions, and edits.

Why It Matters: Tracking history at the claim line level is essential for maintaining an accurate audit trail and ensuring transparency in billing processes. This new feature enables users to monitor changes more effectively, enhancing the reliability of their records.

Who It's For: This update is designed for posters and other RCM users who need to efficiently track and audit changes at the claim line level.

How to Use It:

  1. Navigate to Billing > Manage EOBs.

  2. Search and select the EOB you’d like to check history on.

  3. Scroll down to the claim allocation section.

  4. Click the History button to view the log of actions taken for that specific claim line.

    • The action log displays the date and time of each action, the user who performed it, and a brief description of the action (e.g., Created, Modified).

    • Changes are highlighted in colors for clear visibility: green for creation and pale yellow for modified fields.

    • Actions are listed in reverse chronological order, with the most recent actions at the top.

  5. Use the navigation options to easily return to the main Manage EOBs section from the history view.

Integration of 'Credit Card on File' Feature with Secure Payment Gateway

What's New: We've introduced the 'Credit Card on File' feature, which securely stores a patient's credit card details within their chart for easy future transactions. Users will be able to see the last four digits and the expiry date. This seamless integration ensures that facilities can take payments from New Remits and Payment Plans without the hassle of repeatedly providing payment details.

Why It Matters: This feature streamlines payment processes for clinics, particularly in outpatient settings, by facilitating quicker, hassle-free collections from patients. It enhances patient convenience by eliminating the need to physically present a credit card for every transaction.

Who It's For: This update is ideal for outpatient clinics and healthcare providers looking to simplify payment collections and enhance the patient experience. It’s also beneficial for patients seeking a faster, more convenient payment process.

How to Use: You must have Sunwave Support activate the linkage of Service Facility to Billing Facility. Once activated, within the patient chart, users can access a new menu option labeled “Saved Credit Card.” Users can save a patient’s card on file for any service facility that the user has access to. Only one card can be stored per facility.

 

To use the saved card, navigate to Manage EOBs > New Remit > “Card From Patient” or within a Payment Plan. You'll see the option “Load Saved Card.” Clicking this will load the saved credit card so you can process it. The traditional method of entering a new card remains available.

 


Added Helpful Tooltip for Clearing House Vendor Configuration Limits

What's New: We've added a helpful tooltip to the "Clearing House Vendor" dropdown menu in your Billing Facility configuration section.

Why It Matters: Understanding the limits set with each clearing house vendor and how that affects your claims is crucial for managing the generation of new claims.

Who It's For: This update is for all users responsible for configuring clearing house settings in the billing facility.

How to Use It: Navigate to Practice Setup > Billing Facility and hover over the tooltip icon next to the "Clearing House Vendor" dropdown menu.


EMR Enhancements

Group Notes - Display Group Notes in Date and Chronological Order

What's New: Sunwave now orders and displays group notes in date and chronological order.

Why It Matters: It is now easier to quickly scan and track which group sessions have been done and when while viewing group session schedule.

Who It's For: This update is for therapists and clinical directors to quickly review what group sessions have been done and when.

How to Use It: Navigate to Group Sessions and review the notes list.


Dynamic Census Report - Support Extended Healthcare Team Members

What's New: Sunwave has added support for the Extended Healthcare Team in the Dynamic Census Report.

Why It Matters: The extended healthcare team feature allows facilities to associate any type of position, from nutritionists, to trainers and massage therapists to a patients healthcare team, providing flexibility when supporting patients. These custom team positions will now show up on the Dynamic Census Report.

Who It's For: This update provides administrators and clinical directors a better view at who is on each patients healthcare team.

How to Use It: If you are using the Extended Healthcare Team feature, navigate to the Dynamic Census Report and scroll down until you find bubbles that contain the your Healthcare Team positions.


Program Report - Display Completion Status

What's New: Sunwave has added the Completion Status of patient programs to the Program Report.

Why It Matters: Easily track if patients are completing programs they are assigned.

Who It's For: This update provides administrators, therapists, and clinical directors greater insight into their programs and if patients are completing them.

How to Use It: In Reports, scroll down until finding the Programs Reports. This report is exportable.

 


Medication Census Dynamic Report - New Value - Service Facility Nickname

What's New: Sunwave has added Service Facility Nickname to the Med Census report.

Why It Matters: This allow staff to understand at a glance, what facility the patient belongs to.

Who It's For: This update is for administrators, nurses and techs who review medications.

How to Use It: In Reports, scroll down until finding the Medication Census Dynamic Report.


Patient Chart - Group Sessions - Display Information on Mouse Hover

What's New: Detailed group information will now pop out and display when hovering the mouse over the group timebox.

Why It Matters: Facilities can have many groups scheduled at the same time, making it difficult to understand what group you are placing the patient into when using Group Session Schedule in the patient chart. Hovering your mouse over a box on the Group Session Schedule will now pop out information.

Who It's For: This enhancement is for intake reps, techs, clinicians and clinical directors.

How to Use It: Navigate to Group Session Schedule and hover your mouse over a box.

 


CRM Enhancements

Incoming Calls - Populate Account Name for Processed Phone Calls

What's New: Sunwave will now display the name of the account associated to any phone calls in CRM → Calls.

Why It Matters: This surfaces the name of any patients calling into the facility to allow easy review of processed phone calls.

Who It's For: This enhancement is for any facilities using Sunwave CRM to process incoming phone calls.

How to Use It: Navigate to CRM → Calls and view the Account column.


Referral Source Contacts - Upload Title, Primary & Secondary Contact Owner

What's New: Sunwave has extended its Referral Source Import feature to include Referral Source Contact Title, Primary Contact Owner and Secondary Contact Owner.

Why It Matters: Extracting & Importing referral sources and contact lists can be one of the most painful tasks when switching CRM’s. This enhancement allows more data fields to be imported into Sunwave, reducing manual updates and corrections when importing referral source or contact lists.

Who It's For: This enhancement is for new Sunwave CRM clients.

How to Use It: Contact your Client Support Rep! Please note Contact Title must match the List of Values to be successfully imported.


Campaigns - Track Cost & Require Name

What's New: Sunwave now offers the option to record a cost associated to marketing campaigns. A name is also now required when creating marketing campaigns.

Why It Matters: This new field allows organizations to begin tracking costs related to campaigns.

Who It's For: Any organization utilizing campaigns can make use of the new Cost field.

How to Use It: Navigate to CRM → Campaigns and either Create New or edit an existing campaign. Locate the Cost field and input your total cost for the campaign.
