Billing Changing The Status of a Claim Manually

Once a claim has been generated (you can only change the status manually on a claim with a claim number not on a claim that is in Hold status as they have no Claim Number) there are two ways of changing the status manually the first way, you can go to Billing > Claims Submission> pull your Ready claims and click on the claim number:

You will be brought to a view of the claim form, at the top of the claim form you will see an icon that appears to be a pen and paper, click on it:

When you click on the icon you will be brought to the Edit Status Screen:

and a choice of New Status will appear, here you can change your claim to:

  • Manual Hold (if you would like to hold on to the claim for a later date before sending it out)

  • Submitted (if you have manually printed the claim)

  • Rejected (this is usually a status that will be automatically sent from the Clearinghouse but can be manually placed as well)

  • Denied (this is usually a status placed when posting but can be manually changed here as well)

  • Re-Generate (you have two choices to either send a replacement claim or a voided claim to the insurance company and it will send with the 8 or 7 on the end for your claim type)

  • Void (this is to Void the claim out of the system you must also remember to uncheck the service off of the Census as well otherwise it will continue to generate a claim – this void is not to be confused with a voided claim being sent to the insurance company)

  • Edit (this is a manual Edit should you choose this you will be able to edit items that are in the blue outlined boxes only, once you have edited the items you need you will go back to the edit icon and change the status back to Ready).

  • Ready (your claim is clean and ready)

Click Update and the Status will all be updated.

 

The second way to change the status of a claim is as follows: once a claim has been generated go to Billing > Claims Submission> pull your Ready claims and click on the check box next to the claim number or claim numbers you wish to change (if you are changing the status of multiple claims to the same status you can do them all at once):

Next you will click on Edit status of Selected:

When you click the Edit Status of Selected you will be brought to the Edit Status Screen and a choice of New Status will appear, here you can change your claim to:

  • Submitted (if you have manually printed the claim)

  • Ready (your claim is clean and ready)

  • Manual Hold (if you would like to hold on to the claim for a later date before sending it out)

  • Denied (this is usually a status placed when posting but can be manually changed here as well)
