RCM Enhancements

Enhanced Claims Generation with Start Date and Facility Filter

What's New: Our claims generation process now features a "Start Date" option and a filter for Service Facility, offering the flexibility to generate claims based on specific criteria. This update also introduces the capability to generate claims for multiple insurance selections, including options to select more than one insurance, all insurances, or exclude specific ones.

Why It Matters: With the "Start Date" and Service Facility filter, users gain precise control over the claims generation process, allowing for a more efficient management of claims based on time frames, insurance groups, and service locations. This enhancement streamlines operations and tailors the claims process to the diverse needs of our users.

Who It's For: Designed to empower all RCM users with advanced tools for claims management.

How to Use:

  • Enable Feature: Contact your Customer Success Agent or our Support Team to enable this feature.

  • Set Start Date: In the "Generate Claims for Services Starting" field, select a ‘Start Date' to generate claims for services rendered from this date to the 'Until Date', excluding services on the 'Until Date’.

  • Filter by Service Facility: Opt to generate claims by specific service facilities for targeted claims processing.

  • Insurance Selection: Take advantage of the improved insurance selection options to customize your claims generation based on insurance requirements.

Automated Billing for Add-on Services in CMS1500 Claims

What's New: We've introduced a major enhancement in handling add-on services for CMS1500 claims. Billing admins now have the capability to mark specific services as "Add-on Code Services" within the Manage Services section. This update is paired with new backend functionality that automatically adds these add-on codes to CMS1500 claims, positioned right after the primary service.

Why It Matters: This development significantly streamlines the billing process, automating the inclusion of add-on services in claims. It removes the need for manual entry, reducing the risk of errors and missed billing opportunities, ensuring a more efficient and accurate billing cycle.

Who It's For: Essential for billing admins using auto-billing who need to ensure that add-on codes are appropriately charged alongside the primary service.

How to Use:

  1. Access Form Builder: Navigate to the form builder to create or edit a form. Incorporate the "Add-On Services" component into your form design.

  2. Configure Add-on Services: Within the "Edit Form" interface, locate the "Add-on Billable Services" section. Click into the designated field to view a list of available services. You can select one or more services as add-ons for your form. Use the search functionality to filter services by typing part or the entire service name.

  3. Selecting Add-ons in Forms: When a therapist or provider completes a form, they can select the predetermined add-on service(s). These selections are tied to the primary service of the claim.

  4. Automated Billing Trigger: Based on your configured triggers, the automated billing process initiates. The selected add-on service(s) are automatically added to the claim, appearing beneath the primary service on the CMS1500 claim form.

This process ensures that add-on services are billed accurately and efficiently, reducing manual entry errors and optimizing billing operations.

RCM-Unallocated Report: Advanced Features for Optimized Payment Allocation

What's New: The RCM-Unallocated Report now features advanced filtering options, allowing separation between insurance and patient payments, and highlighting 'Actionable Patient Payments' for immediate allocation or refund decisions.

Why It Matters: This update streamlines the payment allocation process, enabling RCM teams to focus on specific payment types and swiftly identify patient payments requiring urgent action.

Who It's For: Ideal for RCM staff managing distinct aspects of insurance and patient payments, and those responsible for quick allocation of unallocated funds.

How to Use: In the RCM-Unallocated Report, utilize 'Report Type' to filter payments. Choose from 'Insurance Payments', 'Patient Payments', or 'Actionable Patient Payments' for focused reporting and efficient management.


CRM Enhancements

CRM - Incoming Calls - Call Processing Enhancements

What's New: The CRM → Calls screen has been enhanced with a new Call Processing modal!

Why It Matters: Quick, efficient processing of incoming admissions calls are critical to ensuring patients can recieve care or be referred out as fast as possible. The new Sunwave Call Processing Modal allows for centralized processing of incoming calls including creating searching for existing prospects, creating new prospects or updating existing leads and opportunities that are already in flight!

Who It's For: This enhancement is for admissions representatives who are responsible for answering incoming calls from patients, family members, guardians and others who may call to inquire about facility admission.

How to Use This Update: For clients with an active phone integration through CTM or Call Rail, navigate to CRM → Calls. The CRM Calls screen displays all incoming phone calls your organization receives. Click on the call id to invoke the Sunwave Call Processing Modal

The Call Processing Modal will search the Sunwave database for the incoming phone number and present any found matches to the user. If no records are presented, no matches have been found for the phone number. Using the search bar at the top of the Prospect Processing modal, users can search by Prospect Name, Caller Name or any Phone Number associated to a prospect, including Contacts.

Users have the ability to continue editing leads and opportunities in flight by selecting EDIT. New leads or opportunities will be created if users select NEW. A lead will be created if the lead feature is turned on or an opportunity will be created if leads are not utilized.

Selecting NEW will open the appropriate NEW LEAD or NEW OPPORTUNITY window identical to functionality found other areas of Sunwave. Prospects created through incoming calls will be found in the CRM → Leads or CRM → Opportunities menu for further processing.

Selecting Edit will open the lead or opportunity and allow the user to make quick updates or open the record for detailed updates as necessary. Opportunities can be scheduled for admission from the Calls screen and will push to Intake for further processing.

Any changes made to the lead or opportunity will be recorded on the record Timeline for future reporting purposes.

CRM - Referral Sources - Persist Filters & Search Criteria

What's New: The Referral Sources management screen now preserves user input search options and text.

Why It Matters: CRM users who manage referral sources enter search criteria and text filters in order to generate a specific list of referral sources will now have the list preserved and presented back to them when navigating away and coming back to the Referral Sources screen.

Who It's For: This enhancement is for business development and admissions representatives who manage referral networks. Navigating into and out of records to update and record activity will now be faster!

How to Use This Update: Users can specify any desired filtering or search criteria using the options in the header of the Referral Companies screen. Pressing search returns the desired results. Simply navigate away and return to the page to pick up where you left off! Pressing “Clear” will remove all search and filtering criteria allowing you to return to the master list after searching.

CRM - Opportunities - Enhance Duplicate Opportunity Warnings

What's New: Sunwave now provides a simple, direct message when a user attempts to create an opportunity when the patient first name, last name and D.O.B are identical to an existing opportunity.

Why It Matters: CRM users will now be presented with warning dialogue that will direct them to update an existing opportunity so that duplicate records are not input into SunwaveCRM.

Who It's For: This enhancement is for business development and admissions representatives who need to input opportunities.

How to Use This Update: No user action is required. Attempting to create a new opportunity with identical name and D.O.B values will result in the below dialogue box being displayed, prompting the user to select a matching record from the auto-complete list presented to them.

EMR Enhancements

EMR - New MOR/MAR Dynamic Report

What's New: The Sunwave MOR/MAR Dynamic Report provides healthcare professional with a comprehensive overview of all medication administration records and their status for their patients.

Why It Matters: The MOR/MAR Report ensures patient safety, continuity of care and medication compliance for all patients receiving medications in Sunwave. This report offers detailed records of med administration including the ordering authority, status of the observation/administration record and the staff member entering the record.

Who It's For: This report is beneficial for nurses, physicians, providers and pharmacists to allow easy tracking and monitoring of medication compliance and identify any potential issues.

How to Use This Update: Navigate to reports in the left hand menu and located MOR/MAR Dynamic Report.


EMR - Reports - Patient Level of Care Journey Report

What's New: Sunwave is proud to offer a new enhanced view of each patients journey through each facility and level of care during their stay.

Why It Matters: The Patient Journey report in Sunwave offers a clear view at each level of care a patient passes through in their stay, while display insurance, primary therapist and discharge type for a 360 degree view of their journey.

Who It's For: This report is beneficial for Clinical Directors, administrators, executives and ownership who want to see in aggregate what levels of care patients are passing through, the types of discharges occurring at the end of an episode of care and what therapist was responsible for each patients journey at the facility.

How to Use This Update: Navigate to reports in the left hand menu and locate the Patient Level of Care Journey report.


EMR - COWS/CIWA - Display by Assessment Date & Time

What's New: Sunwave has enhanced the ease of use related to reviewing vitals by displaying them in assessment time order.

Why It Matters: Previously, vitals were displayed in signature order, resulting in vital assessment times being shown out of chronological order as staff can occasionally sign vitals after they are recorded. This enhancement pre-sorts the vital display order to display on assessment time so that a timeline of vitals information is created and easily reviewed.

Who It's For: This modification is for nurses, techs, providers and any facility staff who review vitals regularly.

How to Use This Update: Navigate to any form or area that displays Vitals Summary. No user action needed.


EMR - Med Census - Add “Program” Filter

What's New: Our Medication Census offering has been enhanced by offering users the ability to filter by the assigned patient program.

Why It Matters: Sunwave now has enhanced support for facilities who classify patients and care teams along program lines, allowing staff to easily identify who needs what medications in a specific program.

Who It's For: This modification is for nurses, techs, providers and any facility staff who observe or administer medications.

How to Use This Update: Navigate to Medication Census on the left nav menu and select the Program filter from the header options.
