Financials - Adjustment Pop-up Removal and Enhancement of Claim and Payment Processing
What's New?
We've made some changes to our Financials section. We've gotten rid of the Adjustment pop-up. We've also added a new thing called 'adjustment_type' to something called sw_assigned_payment. Now when we make a claim, it'll automatically make an adjustment based on a set rate. Plus, if you remove a payment line, the system will add back a standard claim adjustment.
Where Can You Find This?
You'll see these changes when you work with the Financials in the Sunwave platform.

After logging in, go to the Financials section. If you make a claim or alter a payment line, you'll see these new changes in action.
Why is this Important?
These updates make it easier for us to manage our finances and claims. They reduce the chances of us making mistakes and make our financial data more accurate.
What's New?
We've implemented a formatting change to improve the readability of exported Chart of Account data. To avoid text fields being separated into multiple columns due to the presence of commas, we're now enclosing text fields in quotations or using different delimiters.
Where Can You Find This?
This change is implemented across all exports of the Chart of Accounts.
Changes Made:
Before the update, the exported data was getting scattered across multiple columns due to the presence of commas within the text fields. Now, we're enclosing text fields in quotations to keep all the related text in the same column. If a text field includes a quote, we're using different delimiters to keep it in the same column.
Why is this Important?
This change makes it easier to read and interpret the exported Chart of Accounts data.
RCM Enhancements
Integration of Auto-Patient Billing with Single Form Flag in Manage Realms & Form Builder Component: Service Type
What's New?
We've introduced a new flag in our Master Data section - “Auto-outpatient billing with a single form”. With this flag enabled, users can add only one form in the Manage Service section. If an attempt is made to add more forms, the system will show an error notification.
Also, we've added a new component to our Forms Builder - the Service Type component. Located in the form editing section, this component functions similarly to a Choice List and is a required field. It's designed to prevent users from adding the same service multiple times within a given form. Additionally, a feature to export the data from this component to a PDF file has been added for your convenience.
Also, we've included a dropdown option called "Form Service Type" for users to select the service type associated with the chosen form. If there are no service types available in the form, the dropdown will default to an empty value.
Where Can You Find This?
Master Data: After logging in, go to the Master Data section and then to Manage Realms. If you enable the auto-patient billing with a single form flag, you'll see these new changes in action.
Forms Builder: After logging in, navigate to the Forms Builder and select a form to edit. You'll see the new Service Type component and its related changes there.
Why is this Important?
This will reduce the chances of errors that could arise from assigning multiple forms to a single outpatient service, and improve our billing data's accuracy. These updates enable users to accurately select and manage service types.
EMR Enhancements
Reporting on Group No-show Rates and Capacity Rates by Facilitator
What's New?
We've enhanced our EMR with a new report, the Group Facilitator Performance Report. This report provides comprehensive data on each facilitator's weekly activity, including the total number of groups scheduled, the number of patients scheduled, the number of group notes created, and the number of group notes completed. For added convenience, the report also provides weekly totals and averages for each service facility.
We've also revamped the group session management functionality. Facilitators can now be assigned to individual group sessions, offering greater flexibility compared to the previous functionality where the same facilitator was assigned to all recurring sessions.
Where Can You Find This?
The Group Facilitator Performance Report can be accessed from the left sidebar. Navigate to Reports > Authorization > Group Facilitator to find the report.
To use the new session management feature:
Individual Session Changes: Go to the Calendar and click on the specific group session you want to change. In the session details, you'll see a dropdown menu for the facilitator. Choose the facilitator you want to assign to that particular session and save the changes. The new facilitator assignment will apply only to this session and will not affect other recurring sessions.
Global Changes: To change the facilitator for all recurring sessions of a particular group, navigate to Practice Setup > Group Sessions. Here you can edit the group session details and change the facilitator. Saving this will apply the change to all future sessions of this group.
Why is this Important?
These enhancements streamline facilitator management, allowing for improved supervision and coaching. The additional flexibility in session scheduling improves efficiency and accuracy, allowing sessions to be adapted to real-time changes and specific situations. This results in better resource allocation and improved service delivery.
Reporting on Future Group Room Availability (based on capacity)
What's New?
We’ve added a new report that reflects the future availability of rooms for group sessions. This is determined based on the capacity set for each room. To make this possible, we've introduced the capacity configuration for rooms under the List of Values in the EMR module, a value that will guide the availability and capacity calculations in the Group Session Schedule in Practice Setup.
Additionally, we've incorporated fresh functionality in the Group Sessions section of Practice Setup. Now, not only can you assign a specific room to each session, but you can also view the total capacity of the room during the scheduling process. Moreover, you can modify the room for a single session without affecting all other sessions, granting you even more flexibility and precision in your planning.
Where Can You Find This?
Room Capacity: To set the capacity for a room, navigate to Practice Setup > List of Values. Set the filters to the EMR module and the Entity to "Room". Choose a room and set its capacity. You'll see a new column, "Capacity", showing the capacity number for each room.
Room Assignment in Group Sessions: To assign a room to a session, head over to Practice Setup > Group Sessions. Pick a session and assign a room from the dropdown menu. The total capacity of the room will be visible for your convenience.
NOTE: If you need to edit the room for a specific session only, you can do so directly from the main Calendar (left side bar click Calendar). This change will apply to the selected session exclusively, leaving all other sessions unaffected.
Future Group Room Availability Report: You can find this new report in the Reports section (left sidebar). It provides an overview of the future availability and capacity of rooms for group sessions based on the current schedule. Please note that the displayed percentage represents the room's occupied capacity, so to ascertain the remaining availability, subtract this value from 100.
Why is this Important?
These enhancements offer better management and utilization of group session rooms. By setting capacity for each room, scheduling sessions per room, and reporting on future availability, you can ensure optimal utilization of space and prevent issues like double booking or overcapacity. This leads to smoother operations and enhances the overall service delivery to patients.
Update Colors on Columbia-Suicide Severity Rating Scale (C-SSRS)
What's New?
We've updated the color scheme for the Columbia-Suicide Severity Rating Scale (C-SSRS) in the Intake Assessment and Biopsychosocial forms. This change aims to provide a clearer visual understanding of the assessment results.

Changes Made:
We've returned to the original coloring for the CSSRS as follows:
Questions 1-5: All "No" answers are displayed in "white"
Question 6: All answers (both "Yes" and "No") are displayed in "white"
Follow-up to Question 6: No changes made – "Yes" continues to be in "red", and "No" remains in "orange"
Why is this Important?
By modifying the color scheme, we aim to make it easier to interpret the results of the C-SSRS.
Trigger High Score Assessment Alerts upon User Signature and Acceptance in Patient Engagement
What's New?
To enhance patient care and safety, we've made a crucial update to the triggering of high score assessment alerts within Patient Engagement. These alerts, which were previously activated after a user signed the form in the patient's chart, will now trigger immediately after the user signs and clicks "Accept" in Patient Engagement > Pending Forms.
We've taken great care to ensure that this change doesn't impact other existing triggers, such as checkbox alerts. The option to sign the form in the patient's chart remains a valid alternative method, ensuring flexibility in different user workflows.

This update applies to the Pending Forms section within Patient Engagement.
Why is this Important?
This change is significant in providing timely attention to patients in critical situations, such as those who are suicidal or experiencing severe distress. This not only enhances patient care and safety but also streamlines the process for users, reducing potential delay or risk of forgetting to sign the form.

We've upgraded our system to now allow sending emails with attachments using Microsoft Outlook.
