Calendars Update June 2023

This is a guide for using the Sunwave Calendars as of the update on June 1, 2023.

Creation Date: May 30, 2023

1. Access the New Calendar

Select Calendars from the Left Navigation Menu to access the new calendar.

If you do not have access to Calendars in the menu, contact your Sunwave Admin

2. Subscription Based Calendars

Calendars are now subscription based. A pop-up will be available to help you navigate the new calendars the first time you use them. The calendars you've selected, from the pop up or via the "+" sign next to each type of calendar, will be visible in your canvas until you deselect them or unsubscribe.

Upon using the "+" sign for adding a new calendar, you will have a dynamic search that will provide results as you type, allowing you to select calendars quickly.

4. Day View

Sunwave Calendar can view viewed by Day, Week, or Schedule. In the Day view, you'll see all of your calendar subscriptions, oriented side-by-side, to compare the availability of each calendar as well as mutual appointments.

5. Week View

In the Week view, you'll see all of your calendar subscriptions, oriented side-by-side, for each day of the week Monday through Sunday to compare the availability of each calendar as well as mutual appointments. You can use the left-right scroll bar to see additional days; Sunwave will default to Today's date when you first open the Week View (highlighted in blue).

6. Schedule View

Schedule View shows all appointments for all subscribed and selected calendars in chronological order for the week - each appointment will show for each individual scheduled for the appointment. The schedule view can be printed via the "Print" option in the calendar Menu

7. Zoom-Slider

The size of Appointments and Hours on the canvas can now be expanded or reduced using a zoom slider next to the Menu button. Increasing the size of the appointments gives you more preview information within the canvas.

8. Appointment Fly-Out

Appointments can now be viewed without editing. In addition to the preview information on the canvas appointment, clicking directly on an appointment opens a fly-out that displays all appointment details. In addition to added efficiency, viewing the fly-out prevents user error by preventing editing until a user chooses to do so.

From the appointment fly-out, you can edit (pencil button) or delete (trash can) the appointment, or close (X button) the fly-out.

9. Creating a New Appointment

To create an appointment, click on the relative time of the appointment in the canvas of the Subscribed Calendar on which you want to schedule the appointment. This will open an editing view of a new appointment for the time and calendar selected.

10. Editing an Appointment

Upon clicking the edit button, all appointment information is available to edit.

  1. You can change the time of the appointment by hour and minute for start and end time.

  2. You can add additional participants in addition to the subscribed calendar including multiple patients, multiple staff, and multiple guests.

  3. You can add your forms for the session type

11. Reminders

From the fly-out, you can also schedule Text and Email Reminders. You can set your Message to Send, and add Reminders for any combination of Patients, Staff and Guests, for between 30 minutes and 3 days prior to the appointment time.

12. Menu - Calendar, Rosters, Print, Forms, Colors

You can still accomplish the following from the blue Menu button:

  1. Manage Custom Calendars (Permission Based)

  2. Rosters - 3 Rosters Remain Available; when opened, they will be viewed in a "pop-up", with the same filter and print functionalities, but can be closed to return directly to your previous view of the calendar

  3. Edit Forms for Calendar Appointment Types (Permission Based)

  4. Edit Colors assigned to Statuses and Types of Appointments (Permission Based)
    - *Note: Upon Release of Calendars, Color assignments for Status and Type will need to be reconfigured.

13. Rosters Pop-Up

All Rosters will now "Pop Up" when viewing. They can be closed via the "X" in the top right corner, or the Cancel or Add buttons in the bottom right corner to return to your previous calendar view.
