CRM Enhancements

Marketing List - Last Activity Date & Bulk Update Functionality

What’s New
Enhancements have been made to CRM → Marketing Lists, including a new “Last Activity Date” filter and expanded bulk update functionality for Referral Sources. Users can now generate targeted lists of referral sources based on their latest activity date and perform mass updates to several key fields.

Why It Matters
These updates empower users to quickly identify inactive or highly engaged referral sources, take immediate action on stale relationships, and efficiently maintain accurate CRM data across multiple contacts at once.

Who’s It For
Marketing, outreach, and admissions teams responsible for relationship management and CRM data upkeep, particularly those performing frequent list building and batch updates to Referral Sources.

How to Use It

  • As a CRM Admin, Navigate to CRM → Marketing Lists.

  • Use the new “Last Activity Date” filter to generate a targeted list of Referral Sources. This references the most recent entry in each Referral Source’s Timeline.

  • After the list is generated, click Bulk Update to open a modal titled:
    “Update the Referral Sources in the table with these values.”

  • Fields available for update include:

    • Status (Active / Inactive)

    • Primary Referral Source Owner (CRM users – updates all associated contacts)

    • Secondary Referral Source Owner (CRM users – updates all associated contacts)

    • Referral Source Type (from Practice Set-Up → List of Values → CRM → Referral Source Type)

Additional Notes

  • Bulk changes are logged in the Referral Source’s history, not in the timeline.

  • Updates to Status or Owners cascade to associated contacts and write a corresponding Active/Inactive note to their timeline.


API - Create Opportunity - Accommodate Account Contacts

What’s New
The Create Opportunity API endpoint has been enhanced to support the creation of Account Contacts alongside the opportunity.

Why It Matters
This streamlines workflows by allowing related contacts to be created in the same transaction as the opportunity, reducing manual follow-up and ensuring data completeness during intake or referral processing.

Who’s It For
This enhancement is designed for developers, system integrators, and administrators using the API to automate opportunity creation and contact management.

How to Use It

  • Utilize a properly configured API user to transact with the API.

  • The "Account Contact" form component in Form Builder now supports a master field value that can match a parameter in the API payload.

  • When making a POST request to the Create Opportunity endpoint, include an array in the forms section that matches the master field value configured in form builder. ex: account_contacts.

  • Each contact entry in the array must include:

    • First Name (required)

    • Last Name (required)

    • Status (required)

    • Contact Type (optional, but if used, must match exactly a value from Practice Setup → List of Values → Contact Types)

    • Other fields are optional.

  • In the Form Builder, use the "Account Contact" component and ensure its Master Field Value is set to a value matching the Create Opportunity Post.

RCM

RCM - Ability to adjust down Debits

What’s New:
In Manage EOBS you now have the ability to adjust down debits.

Why It Matters:

  • Enables flexible, transparent financial management

  • Ensures accurate patient responsibility (e.g., bankruptcy scenarios)

  • Reduces billing errors

Who It’s For:

  • Billing Teams managing EOBs and balances

  • AR/Finance reconciling ledgers

  • Compliance/Legal reviewing billing accuracy

How to Use It:

  1. Navigate to the Billing tab.

  2. Open Manage EOBs

  3. In the Debit Allocation section you will now see three new columns: Adjusted, Adjustment Reason and Adjustment Type.

  5. Debit Adjustments will now be displayed in the patient ledger and patient statement.


RCM – Ability to Send out the Patient Ledger through Patient Engagement

What’s New:
You can now send the Patient Ledger directly to patients through the Patient Engagement platform.

Why It Matters:

  • Improves transparency by giving patients easy access to their financial records

  • Reduces administrative burden on billing teams

  • Speeds up payment cycles by proactively sharing account details

Who It’s For:

  • Billing and Front Desk Teams managing patient inquiries

  • Care Coordinators communicating treatment and financial info

  • Patients needing real-time visibility into their balances

How to Use It:

  1. Navigate to the Patient Engagement tab in the client chart.

  2. Select the Patient Ledger from the available forms.

  3. Click Send via Patient Engagement
