Sunwave Enhancements
User Profile - Code To Sign - Enforce 4 Digit Requirement
What’s New: On Thursday, 4/10, Sunwave will no longer permit users to sign documentation if their pin is less than 4 digits. This will affect all users with a non-compliant pin.
Why It Matters: Enforcing 4 digit pins increase security, compliance and user accountability around documentation. Short pins are easy to guess or brute force, while a minimum digit requirement demonstrates due diligence for HIPAA purposes and strengths the PIN as a digital signature binding an action to a specific user.
Who It’s For: This is for Compliance Officers but will affect All Users.
How to Use It: Users who have a compliant pin will not be affected.
Users who have a pin of less than 4 characters will be presented with a notification upon login
They can navigate using the user menu in the top right and select “User Profile”
Scroll down to update the Code to Sign section
Users who attempt to utilize a non-compliant PIN will be met with an error
CRM Enhancements
Manage Opportunity Enhancements - Search By: DOB, Display Age, DOB & Display Campaign
What’s New: Sunwave now supports and displays Age throughout the CRM. Campaign is now available in the Manage Opportunities view.
Why It Matters: Easily and quickly verify that you are interacting with the correct record by seeing Age.
Who It’s For: This enhancement is for Admissions and Intake Staff.
How to Use It: Find DOB and Campaign in the column configurator located in the top right of the screen

Opportunity Report - New Bubbles - Referral City, State, and Zip Code
What’s New: The Opportunity Report now supports reporting on the Referral Source City, State and Zip Code
Why It Matters: This enhancement allows business and marketing minded users to identify geographically where the referral sources that are sending in the most opportunities are located.
Who It’s For: This enhancement is for Business Development and Marketing Managers
How to Use It: Find the new options contained in the opportunity report
EMR Enhancements
Dynamic Census Report - New Bubble - Ethnicity
What’s New: Sunwave now accommodates the Ethnicity field in the Dynamic Census Report
Why It Matters: This enhancements provides more complete reporting around a patients demographic information
Who It’s For: This enhancement is for clinicians, therapists, admins or any other staff members who may want to view a more complete representation of a clients demographic information.
How to Use It: This Master Field is typically in use, however to utilize this, ensure that the facesheet field utilized to capture ethnicity is configured as a the master field “Ethnicity” to see this in the Dynamic Census Report.
E-Mail Level of Care Change Notifications
What’s New: Sunwave can now sends e-mail notifications when a patient changes levels of care.
Why It Matters: This enhancements ensures everyone who needs to know about a patients journey is aware when they change Levels of Care.
Who It’s For: This enhancement is for clinicians, therapists, techs, admins, medical or any other staff members who may want to understand when a patient changes Levels of Care.
How to Use It: Ensure that your realm is configured to support sending email notifications via Realm Set-Up.
Ensure Calendar & Alerts Emails are configured
NOTE: This email address should NOT be associated to an user.
Scroll up and toggle “Send Emails on Level of Care Change” to On (pictured)
Add recipients by typing their email and pressing
Accommodate Discharge Time
What’s New: Sunwave now supports the specification of minutes when inputting Discharge Time.
Why It Matters: This enhancements ensures facilities can more specifically track when a patient leaves their care.
Who It’s For: This enhancement is for clinicians, therapists, techs, admins, medical or any other staff members who may be involved in the Discharge Process.
How to Use It: No special action is required by the user. For those who are permitted to modify LoC, the minute parameter will now be available.
Dynamic Census Report - New Bubbles - Patient First Name & Patient Last Name
What’s New: The Dynamic Census Report now has explicit bubbles for Patient First Name & Patient Last Name
Why It Matters: This enhancement allows users to more easily manipulate the format the data is displayed
Who It’s For: This enhancement is for billers, case managers and any other users who reference the Dynamic Census Report
How to Use It: Find the new options contained in the Dynamic Census Report
Compliance Report - Accommodate Independent Patient and User Signature Requirements
What’s New: Caseload → Compliance Report now supports independently requiring patient or user signatures for documentation.
Why It Matters: This enhancement allows users to more easily manipulate the format the data is displayed
Who It’s For: This enhancement is for billers, case managers and any other users who reference the Dynamic Census Report
How to Use It: For EMR Admins, navigate to Caseload → Compliance Report. Press Configure to view options
Create a new configuration or edit an existing and either add form or edit an existing form rule
For the specific rule, view new Patient and User checkboxes
Checking Patient or User ON will require that signature be present for the form to be considered in compliance.
Example:
Group Sessions can be expected to require a staff signature, however almost never require a patient to sign
Consents can be considered complete and compliant if a patient signs, however the user signature may not be required since the staff member is not consenting to anything

Aging Report – Date Selector & Claim Log History
What’s New:
Sunwave is rolling out a new enhancement to the Aging Report that allows users to select a specific date and view the report as it appeared on that day. This historical view is powered by new fields added to the claim log history, ensuring accurate financial snapshots over time.
Why It Matters:
This update improves financial reconciliation and enables tracking of aging trends by viewing past states of the Aging Report. With accurate historical data, users can validate past balances and claim statuses, supporting both internal audits and external reporting requirements.
Who It’s For:
This feature is designed for Finance, Billing Teams, and Compliance Officers, but will benefit all users involved in revenue cycle reporting and analysis.
How to Use It:
A new date selector is available within the Aging Report interface.
Select a past date to view how claims and balances appeared at that time.
