EMR Enhancements

EMR - Patient Sign with Code

What's New: Patient Sign with Code is rolling out to all Sunwave clients! Allow a patient to input a pin code to stamp their signature onto any documentation.

Why It Matters: This enhancement to our form signatures will save patients and staff time when they need to sign very many forms in a row.

Who It's For: This enhancement is relevant to patients and any EMR staff capturing patient signatures. They can now quickly move through large sets of forms without asking the patient to constantly draw their signature with a finger or the mouse. Admissions and Intake staff will love this for helping get through the initial set of consent forms.

How to Use: Navigate to the patients chart for whom you want to set up “Sign with Code”. Use the blue pulldown menu and select “Sign with Code” from the menu of options. Have the patient input their secret code, sign and press save. You will now be presented with the pin code option when the patient needs to sign!


EMR - Deleted/Removed Forms Report

What's New: You can now easily identify any deleted or removed forms from a patients chart by utilizing our new Deleted Forms Report!

Why It Matters: This report allows users to verify if forms were deleted or removed and the user associated to that transaction.

Who It's For: This report is for billing/financial analysts, clinical quality assurance staff and any others who want to verify any and all documentation entering or leaving a clients chart.

How to Use: Navigate down the left menu, click on Billing → “Deleted Forms Report”.


RCM Enhancements

Option to include CPT Codes on Patient Statements

What's New: Patient Statements can now include Billing Codes (Revenue Codes/CPT Codes) if enabled in Statement Setup, proactively addressing Texas state regulations and anticipating broader billing transparency requirements.

Why It Matters: This update not only aligns with Texas's new regulations but also positions healthcare providers to adapt swiftly to similar changes in other states, ensuring clear and compliant billing communication with patients.

Who It's For: Especially relevant for healthcare providers in Texas and any region with stringent billing disclosure laws, this feature is for anyone seeking to maintain the highest standards of billing transparency.

How to Use:

  • In Practice Setup → Statements Setup.

  • Activate the new “Include Billing Code on Patient Statement” flag.

  • On the Patient Statement, Billing Codes will appear next to service descriptions, formatted appropriately to include both Revenue and CPT Codes.


Posting Report with Expanded Data Fields for Superior Tracking

What's New: The Posting Report now features the addition of Billing Facility ID and Patient MRI Number, enriching the dataset for a more complete financial analysis.

Why It Matters: Inclusion of these key identifiers elevates the precision of reconciliation processes and patient billing management, offering finance teams a deeper level of detail and verification.

Who It's For: Designed for finance professionals who depend on thorough and accurate reporting to streamline their workflows and enhance patient record management.

How to Use: Visit Billing → Posting Report to view the new fields.


RCM Control Enhanced: Introducing Manual EOB Holds

What's New: Our RCM now includes the ability to manually hold EOBs, granting users the power to meticulously review and manage Insurance EOBs that differ from expected rates.

Why It Matters: This development is pivotal for optimizing both the collection process and financial reporting. By allowing targeted holds on EOBs, users can ensure cash allocation is accurately reflected, directly influencing the effectiveness of collections and the precision of financial reports.

Who It's For: This tool is crafted for RCM users who demand detailed oversight of EOBs, particularly when there is a need for extensive follow-up with payers and when reporting must indicate that payment is not recognized as final.

How to Use:

  • Access Billing → Manage EOBs

  • Click the Columns filter at the top right and select “On Hold” ensuring the check mark is visible.

  • Notice with the Claims section of an EOB the new checkbox for holding EOBs.

  • Visually identify held EOBs through color differentiation.

  • Utilize the new filter function to view EOBs by their hold status, streamlining your management tasks.

Future Integration: The introduction of this manual hold feature is just the beginning. It sets the stage for a more sophisticated interaction with the NET Claim Balance field (details below), which will further refine both reporting and the collections process. Expect to see the NET Claim Balance in more areas soon, enhancing the management of EOB Holds and other related functions.


Debut of Net Claim Balance on Ad-hoc: A Transformative Step in Financial Reporting

What's New: Ad-Hoc Reports now include a Net Claim Balance calculation. This feature dynamically adjusts the receivables based on the status (Hold) of EOBs and payments received.

Why It Matters: This enhancement provides an alternative perspective on Account Receivables, adapting to a range of payment and EOB situations influenced by our EOB Hold flag.

Who It's For: Designed for Billers and Financial Users who need a nuanced and accurate reflection of financial standings, especially in managing receivables and understanding the impact of pending payments or EOB holds.

How to Use: Access the updated Net Claim Balance in Billing → Ad-Hoc Report
