EMR Enhancements
EMR - Intake Process - Sort Columns
What's New: We've enhanced our intake screen to allow users to sort the working grid by names and dates.
Why It Matters: This change makes it easier for our clients to to understand the flow and order of operations for who is intaking when.
Who It's For: This enhancement is for everyone who interacts with the Intake area but will be especially valuable for Intake coordinators and admission reps.
How to Use This Update: No action is required by the user, navigate to Intake using the left nav menu and enjoy the new sorting!
EMR - Medication Reconciliation - View Detailed History
What's New: We've improved the way users can review medication reconciliation details by providing a history view.
Why It Matters: This change makes it easier for our clients to review facility and patient medication inventory and understand when medication inventory levels were changed.
Who It's For: This enhancement is for techs, nurses, providers and facility pharmacies.
How to Use This Update: No action is required by the user, navigate to a patients MOR/MAR Log and click Reconciliation History!
EMR - Patient Headers - Track Level of Care History
What's New: We’ve enhanced our tracking around Level of Care changes in a patients chart
Why It Matters: We’ve provided greater clarity around who and how a modification to a patients Level of Care was changed.
Who It's For: This enhancement is allows therapists, administrators and billers to easily see who has modified a patients LoC for their own internal knowledge or compliance reasons.
How to Use This Update: No actions are required to view LoC history or changes, click the History button next to Level of Care.
Patient Engagement - Limit Future Appointment Scheduling
What's New: Patient Engagement communications that contain an invitation to book a calendar appointment can now have a time frame associated to that appointment so it does not get booked too far in advance.
Why It Matters: Utilizing this ensures therapists can be present when their students or patients book sessions with them.
Who It's For: This enhancement is for administrators, therapists and facility staff who have use patient appointments
How to Use This Update: Please ask your CSA to set “Limit Time Patients Can See Appointments” to on in realm settings and select how far in the future appointments will show.
API - Update API Documentation
What's New: Sunwave’s API is powerful tool that clients can utilize to extract data from the CRM, EMR and billing platforms. The API’s documentation has been updated to accommodate all of the recent additions and enhancements made to Sunwave.
Why It Matters: API consumers can now pull a wider range of data from Sunwave
Who It's For: This enhancement is for all API users
How to Use This Update: End users will need to reference the new get requests in the Sunwave API which can be found here: https://emr.sunwavehealth.com/SunwaveEMR/swagger/index.html
RCM Enhancements
Insurance Collector Tracking in Ad-Hoc Reports
What's New: You can now select the "Insurance Collector" field in Ad-Hoc Reports displaying all collectors in a straightforward, semi-colon separated format for improved data clarity and detail in your reporting.
Why It Matters: Stay on top of your insurance collections by easily tracking and differentiating between multiple collectors directly in your reports.
Who It’s For: Billing administrators who generate reports and want to keep a keen eye on insurance collection efforts.
How to Use This Update:
Adding Collectors:
Navigate to Billing > Insurance Providers and select or add an insurance provider.
At the bottom, click the + sign to add collectors, choosing from users flagged as "Collector" in Practice Setup > Users.
Generating Reports:
In the Ad-hoc Reports section, find and select the new "Insurance Collector" field.
Generate your report to view data related to the chosen collector(s), presented cleanly with multiple names separated by semi-colons.
Enjoy the added depth and clarity in your ad-hoc reports with the new "Insurance Collector" field.
See the Latest Comments First in Claims and Submission Views
What's New: Now, when you check the comments on your claims or in the Claims Submission Report, the most recent notes are right at the top, so you'll see the latest updates immediately without any extra scrolling.
Why It Matters: Time is money! This small change ensures you see the most relevant, recent comments first, making it quicker and easier to keep track of ongoing updates and actions for each claim without sifting through older notes.
Who It's For: Billing users who manage and review claims and want to stay promptly informed about the latest internal notes and actions.
How to Use This Update:
Reviewing Claim Comments:
Click on a claim and go to the "Comments" tab.
You'll see the newest comments at the top, helping you stay updated with the most recent internal notes and actions.
Checking Submission Comments:
Head over to Billing > Claims Submission.
In the Comments Field of the Claims Submissions Report, the newest comments will appear at the top, streamlining your review process.
Ensuring Smooth and Secure Data Flow in Upcoming Waystar Update
What’s New: We’re ensuring our communication with Waystar remains tight and secure by confirming and updating our ciphers (digital locks) as needed, before Waystar's update on November 11th, 2023.
Why It Matters: Ciphers are like digital secret handshakes, ensuring that the data we send and receive is secure. By confirming we’re using robust ciphers, we're reinforcing the security of our data exchanges, keeping our communications safe and uninterrupted despite system updates.
Who It’s For: This is mainly for our tech team ensuring everything runs smoothly, but it’s good for all users to be aware that we’re actively bolstering our security and ensuring stability through Waystar’s updates.

Ensuring Smooth Sending of $1,000+ Patient Statements via PE
What’s New: We're addressing an issue that prevented the sending of patient statements and Credit Card Authorization Consents through PE (Patient Engagement) for balances of $1,000 or more.
Why It Matters: This resolution is pivotal because the existing issue not only hampers the seamless sending of critical billing documents to patients but also multiplies the workload of our clients, impacting those dealing with $1000+ balances. By resolving this, we streamline the payment request process and potentially expedite revenue inflow.
Who It’s For: Billing Administrators who manage patient accounts.
How to Use This Update: Upon resolution, the process of sending statements, particularly those over $1,000, through PE should be seamless. To utilize this fix:
Sending a Statement:
Navigate to the Patient’s chart → Patient Engagement
Click “Create Envelope”.
Select the party to send the envelope and click “Continue”.
Attach the patient statement, regardless of the balance amount.
Scroll down and click “Send”.
Elevating Opportunity Management with Improved GFE Functionality in CRM
What’s New: Refinements in the Good Faith Estimate (GFE) functionality in CRM/Intake Processes, ensuring accurate interactions with insurance data and service loading, whether in parent or child realms.
Why It Matters: Streamlined GFE evaluations provide accurate and dependable data during CRM entries, patient admissions, and beyond, enhancing reliability in opportunity management and patient data handling.
Who It’s For: Teams and individuals engaged in CRM management, opportunity handling, and patient intake processes, ensuring seamless access and application of GFE data across various realms.
How to Use This Update:
During the CRM/Intake process for opportunities, the GFE will now:
Assess the Primary Insurance field on the Facesheet.
Prompt users to select the relevant realm when loading services.
During the Intake Process, use the realm in which the patient is scheduled for GFE evaluations.
In both parent and child realms, consistency and visibility of data are maintained from CRM entries through to Intake Processes and EMR charts post-admission. This ensures continuity and reliability of data throughout the patient’s journey. Detailed steps and functionalities will be provided in the update notes.
Financials Enhancements
Choose “None” for Financial Class
What's New: A “None” option is now available in the Financial Class section. This means you can now specifically select records with no associated Financial Class.
Why It Matters: This update eliminates the automatic selection of all classes when no option is chosen.
Who It’s For: Financial Analysts and Administrators, this one’s for you.
How to Use This Update:
Navigate to Financials → Chart of Accounts
Select an Account and continue
Scroll to the Segmentation Rules section
In the Financial Class, you’ll now find the “None” option in your list of values.
Note: If you don’t see Financial Class, you might need to reset Financials in the realm you're using due to a potential configuration issue. Enjoy this new, precise selection option in your financial management!
