CRM - Improved Leads Tracking
What's New: We've made an update to provide more functionality to improve tracking leads through your pre-admission process. We’ve also added Loss/Restore buttons to the Leads grid.
Why It Matters: The additional fields on Leads improves understanding of the lead->opportunity->admissions flow by allowing more detailed tracking, better data capture and improved reporting parameters.
Who It's For: This update impacts users working Leads and Opportunities in the Sunwave CRM.
How to Use This Update: Navigate to the Practice Setup > List of Values. Choose the CRM module and build out your customizable funnel steps for Lead Stage and Lost Reason. These values will be automatically available to you when creating a lead.

EMR/CRM - Disallow Creating Payment Plans in Opportunity Post Admission
What's New: We've updated the system to restrict the creation of payment plans in the opportunities section once a patient is admitted. Payment plans can now only be created from the patient's chart.
Why It Matters: Previously, payment plans created in an opportunity after a patient was admitted caused a confusing double-counting issue. For instance, if a patient made a single payment of $7,250, the system was displaying a total payment of $14,500.
Who It's For: This update impacts CRM and EMR users working in the admissions and intake workflows.
How to Use This Update: If a user attempts to create a payment plan in an Opportunity post-admission, they will encounter an error message.
Financials - Chart of Accounts - Improve Auditing
What's New: Sunwave is surfacing the user and change logs for auditing purposes to Financial end users.
Why It Matters: We’ve improved the tracking and access logs related to any changes made on your Chart of Accounts by surfacing a full history to improve transparency and accountability.
Who It's For: This update is for financial managers who want to know who is making what changes on their Chart of Accounts.
How to Use This Update: Users with access to the Chart of Accounts will find a new history button when examining the detailed view of a specific account. The history function displays all changes, detailing who made the change, when it was done, and what was done. The system automatically logs and updates this history each time a change is made to the Chart of Accounts.
Financials - Reporting - Remediate Comma Induced Column Separation
What's New: A subset of financial reports were being rendered with extra columns due to commas in text fields.
Why It Matters: Remediating the extra columns caused by commas has improved the way our reports look and made them easier to read without manual manipulation.
Who It's For: This fix improves reporting transparency and understandability for anyone interested in financial reporting.
How to Use This Update: No specific actions are required by the user to implement this update.
EMR - Labs - Update Abnormal Lab Flags with New Symbol
What's New: The EMR Lab interface can now accept a '+' symbol from labs indicating a positive result.
Why It Matters: We’ve upgraded the Sunwave lab interface to accept more types of messages and transactions related to positive and negative results.
Who It's For: This update allows our lab interface to accommodate more transactions from new and existing labs.

EMR - Labs -Specimen Source Options
What's New: We’ve added "stool" as a specimen source option in the Sunwave Lab Interface, expanding our list of specimen sources to accommodate a wider range of lab tests.
Why It Matters: We can now track this specific type of lab specimen to accommodate a wider range of lab testing.
Who It's For: This update allows our lab interface to accommodate more transactions from new and existing labs.
How to Use This Update: Navigate through the left menu → Master Data → Manage Lab Services → New Service
EMR - Medication First Dose & Follow Up Reminder Improvements
What's New: When clicking a medication reminder or wave notification Sunwave will now navigate the user directly into the specific medication or administration record for easy follow up and comments.
Why It Matters: Recording medication administration and observation logs is now quicker and easier to do in volume. Optimized system navigation to more closely reflect medication log workflow reducing time needed to complete medication administration and observation logs for nursing staff.
Who It's For: This enhancement is beneficial for nurses and others who need to record observations and notes on the med log.
How to Use This Update: Simply clicking observation reminder links in your reminders or waves will now directly take you to the log pending observation.
EMR - Med Log Audit Trail & Undo
What's New: We've introduced an "Undo" feature in the Med Log, replacing the previous delete option. This allows nurses and technicians to correct entries while still maintaining an audit trail. To facilitate this auditing, we've launched the "Med Undo Audit Report" located under Reports, providing a detailed overview of all medications that have been undone.
Why It Matters: The Undo button ensures that staff can rectify errors such as incorrect dosage, day, or other administrative mistakes. The feature enhances transparency by logging changes to the Medication Administration Record (MAR), thus reinforcing accountability.
Who It's For: This update aids compliance teams and other stakeholders by giving them the ability to easily access and scrutinize mistakes made by nurses and technicians in the MAR entries.
How to Use This Update: Instead of the previous "delete" option in the med log, users will now see the "Undo" button. No additional permissions or roles are required to access this feature. To review undos, navigate to Reports > Med Undo Audit Report.
CRM - Opportunity Report Enhancements
What's New: Sunwave has modified the Opportunity report to include a number of user requested data points.
Why It Matters: The reporting and filtering changes provide a better understanding of how opportunities are won or lost.
Who It's For: Admissions Managers, Business Development reps and those interested in the pre-admissions process and its outcomes can now examine granular outcome data related to their opportunities.
How to Use This Update: No action is required by the user, just navigate to your Opportunity report and take a look at the new filters and data!
CRM - Import Opportunities - Add Additional Fields
What's New: We’ve enhanced our import process to ingest three new fields.
Why It Matters: Prior to this enhancement, end users would need to manually assign a patients program, program start date and primary counselor.
Who It's For: Users or Sunwave staff who want to upload many opportunities at once.
How to Use This Update: When utilizing Opportunity Import, map the data on the importable CSV to the Sunwave assigned Patient Program, Program Start Date and Primary Counselor fields.
CRM - Intake Rules - Additional Rule Parameters
What's New: Sunwave can now require specific forms be completed prior to admit based upon a clients projected level of care and facility.
Why It Matters: CRM users now have the ability to dictate which forms require completion for specific levels of care or facilities.
Who It's For: Admissions Managers and Intake workers can now present a tailored list of required forms customized specifically to the patient.
How to Use This Update: In the CRM → Intake Rules area of the Sunwave CRM, press the “Add Rules” button to be presented with a new rules configurator. Selecting Level of Care or Facility will display all available options. By default, rules will apply to All facilities and All levels of care.
Billing - Patient Ledger & Statements - Display Adjustment Type
What's New: Sunwave will now display adjustment information on the patient ledger and patient statement.
Why It Matters: We’ve modified the patient ledger and statement to display the requested information in order to more closely align with billing workflow. Previously, users had to had to reference multiple areas of the system in order to find all the data they needed.
Who It's For: Billing users such as AR staff now have all of the information they need presented in a singular area.
How to Use This Update: Navigate to the Adjustment Window drop down on the Patient Ledger or Patient statement.

CRM - Leads - New Dynamic Report
What's New: We’ve recently modified the Leads section in the Sunwave CRM, adding several new fields to assist in tracking the Lead lifecycle. This new report provides a flexible way to monitor the progress of leads and make data driven decisions.
Why It Matters: Sunwave can now generate a dynamic Leads report that offers drag-and-drop fields and filtering to allow data to be displayed in an easy to understand way.
Who It's For: Admission Managers, Business Development Reps and others interested in their Lead lifecycle and Admissions Funnel.
How to Use This Update: On the left hand menu, select CRM and scroll down to Leads Report. This report functions similar to other dynamic reports. Utilize the “Search by” feature to filter leads based upon Creation, Qualification and Loss events. The report pulls in other user specified data such as lost reasons, stages, referral sources and insurances.
Billing - Rules - Billing Under Supervising Provider
What's New: Sunwave Billing Rules can now be created that allow specific CPT and modifiers to be selected which will render claims under a supervising providers NPI.
Why It Matters: This new billing logic will ensure that the corresponding fields on the CMS 1500 claim form (Boxes 24J and 31) are correctly filled with the supervising providers NPI while still following billing codes associated to the rendering providers credentials.
Who It's For: This rule supports any Sunwave Billing client that bills with supervising providers.
How to Use This Update: In the left menu, select Master Data → Manage Services → Service Business Rules and turn on “When a form is linked to a completed service and First Provider signed the form” and a new field will be presented titled “Claim Rendering Provider”
Billing - Collection Statuses - Auto-Update Statuses after Payment
What's New: Collection Statuses after creating a payment in an ERA file will not automatically update after posting the payment.
Why It Matters: We’ve removed an obstruction that impedes billing users from quickly processing large amounts of claims at the same time and reduced the number of screens and clicks it takes to review Collection Statuses with the most updated information.
Who It's For: Billers should have a faster time moving quickly through claims and be presented with the most up to date status information without having to refresh or tab away from the screen.
How to Use This Update: No specific actions are required by the user to implement this update.
